How the day runs

The position and the signal are agreed beforehand. The proposal itself is photographed with a long lens from far enough away that nobody notices. The portraits follow once they have both stopped shaking.

What to sort out before the day

The timetable, with the hour you want portraits marked on it.

Whether the venue allows photography, which is a separate question from whether you booked the room.

Who is in the group shots, and who is going to gather them.

Where the images will be used, because that decides the usage rights rather than the price of the hour.

Light in the room at the hour of the event, not at the hour you visited it.

Staying invisible

The whole point is that one person has no idea.

We agree a position, a signal and a backup in case the spot is taken, and I stay far enough away to be a stranger with a camera.

The portraits afterwards take fifteen minutes, once the shock has worn off.

Send the date, the venue and what the images are for. That is enough for a quote.

Permission is worth checking early. Several London venues and every Royal Park need it, and the notice periods are measured in days.

Prices follow the published starting points where the job matches one, and are quoted per brief where it does not.

Permission, in one place

A venue booking is not permission to photograph. They are two different conversations, and the second one is often forgotten.

Royal Parks issue a permit that covers one hour and up to ten people, with at least ten days notice and five million pounds of public liability insurance.

Borough film offices licence street work. Private estates set their own terms and their security enforces them.

Churches and registrars decide what happens during a service, and the officiant has the last word on the day.

Questions clients ask before booking

Whether a deposit holds the date, and what happens if the date moves.

Choosing the hour, not just the day

In London the useful light moves by four hours between June and December.

A winter booking at four in the afternoon is a night shoot, whatever the invitation says.

For anything outdoors, the hour before sunset does more than any equipment.

Indoors, the question is different: what the room looks like when it is full, which is rarely what it looks like on a viewing.

Say which matters more, the light or the schedule, and the plan follows from that.
